From Assessment to Operational in Days
Every CloseVector system is deployed on-site by a dedicated engineer. Here is exactly what the process looks like, from first contact to operational.
Five Steps to Your Verified System
30-Minute Assessment
You schedule a technical briefing. We discuss your document environment: volume, file types, network architecture, security requirements. No sales pitch. Technical evaluation. If CloseVector fits, you receive a fixed-price written proposal within 48 hours.
Hardware Configuration
Based on your assessment, the CloseVector system is configured and tested. The complete AI stack — embedding models, multi-stage retrieval pipeline, graph-based document mapping, and verification layer — is pre-installed and validated as one integrated unit before it leaves our facility.
On-Site Deployment
A CloseVector engineer delivers the system to your office. NDA signed before any work begins. The engineer configures the system on-site, connects it to your document repositories, and runs the initial indexing with your team present. Typical on-site deployment: 2-3 days.
Training & Validation
Your team is trained hands-on. The engineer walks through the search interface, audit trail review, document relationship mapping, and verification capabilities. First searches are run together. The engineer stays until your team is confident and operational.
Ongoing Support
Direct engineering support by phone and email whenever you need it. CloseVector has no remote access to your deployed system — support is advisory, not system-level access. Software updates delivered via data diode (one-way) or fully air-gapped methods. Direct access to the engineering team — not a support ticket queue.
Hardware You Own. Not a Subscription.
This is what you own. Not a cloud login. Not a software subscription. A complete, professionally configured system that sits in your office and runs your entire document intelligence pipeline.
Actual configuration may vary by deployment.
Why Hardware Matters
AI retrieval at this level requires serious compute. The CloseVector AI Stack is pre-configured and tested as one integrated unit. Updates are validated before delivery, minimizing compatibility issues and downtime.
Your Data Never Leaves
Data diode updates: Physical one-way channel. Updates flow in. Client documents never leave your hardware. Software updates flow in via data diode or manual delivery. Air-gapped option: For maximum security, manual updates delivered separately. Your choice. Either way, your documents stay in your building.
Ownership, Not Subscription
Own the system outright or choose a lease structure. Either way, it is a tangible business asset on your balance sheet. No per-user fees. No usage charges. Everyone in the firm can search.
What the Audit Trail Contains
Every search through CloseVector generates a documented methodology record. Here is what that record contains:
The exact search query and parameters used
Every document surfaced, with relevance scores
How results were ordered and why
What was searched, what was not returned, and the reason
Cryptographic hash verification status for each document
Identified connections between related documents
When the search was conducted and by whom
This is not a search result. It is a documented record of search methodology — the kind of documentation that matters when a client, malpractice carrier, or court asks how you searched.
Architecture Built for Confidence
Complete privacy by architecture. A CloseVector engineer signs an NDA before any engagement. All indexing runs locally on your hardware. You control physical access and permissions at all times. CloseVector does not copy or retain your documents.
Founder background verification. CloseVector's founder has passed FBI fingerprint-based background checks required for regulated work. Documentation available on request.
